1. Data We Collect
- Account information: name, email address, organization name
- Documents submitted for translation: text, PDF files, Word documents
- Translation memory: validated corrections and terminology glossary
- Usage data: word count, document history, quality scores
- Billing data: managed by Stripe (we do not store card details)
- Technical data: IP address, browser type, session logs
2. How We Use Your Data
- To provide and improve the translation service
- To build and maintain your organization's translation memory
- To send service notifications (quota alerts, billing receipts)
- To comply with legal and regulatory obligations
We do not use your documents to train general AI models. Your documents are sent to Anthropic's API solely to produce translations, in accordance with Anthropic's API data use policy.
3. Data Storage and Security
- All data is stored in Azure Canada Central (Québec)
- Data is encrypted in transit (TLS 1.2+) and at rest (AES-256)
- Passwords are hashed with bcrypt (12 rounds)
- Microsoft 365 integration tokens are encrypted with AES-256-GCM

5. Data Retention
- Active account data: retained for the duration of the contract
- After account closure: 90-day retention period, then permanent deletion
- Billing records: 7 years (legal obligation)
- Security logs: 12 months
6. Your Rights (Law 25 / PIPEDA)
Under Québec's Law 25 and PIPEDA, you have the right to:
- Access your personal data
- Correct inaccurate information
- Request deletion of your account and data
- Withdraw your consent at any time
- File a complaint with the Commission d’accès à l’information du Québec (CAI)

7. Cookies
Boréal MT uses only essential cookies: authentication session and user preferences. No advertising or tracking cookies are used.
8. Policy Changes
We will notify you by email at least 30 days before any significant changes to this policy.
